What you'll do

As an Administrative Assistant in the CERN Users Office, you will contribute to the delivery of customer-focused administrative services for CERN’s international community of guest scientists, supporting processes related to registration, personnel formalities, and Host State documentation. You will gain hands-on experience in administrative coordination, stakeholder engagement, and service delivery while contributing to the implementation of CERN’s new Human Capital Management (HCM) system and the development of onboarding initiatives that support the integration of newcomers across the Administration Directorate.

Your responsibilities

  • Provide administrative support and guidance to CERN's guest scientists, facilitating registration, personnel formalities, and their integration into the CERN community.
  • Process, maintain, and manage administrative records and documentation, ensuring data quality and accuracy across CERN's information systems.
  • Contribute to the continuous delivery of administrative services by supporting team activities and ensuring service continuity when required.
  • Support the documentation, review, and improvement of administrative and Human Capital Management (HCM) processes, including the collection and analysis of user feedback.

Your profile

  • Initial experience in administrative support, customer service, office administration, or a related field would be considered an asset.
  • Exposure to service-oriented activities and interaction with a diverse range of stakeholders would be an advantage.
  • Experience maintaining records, documentation, or administrative information would be considered an asset.
  • Familiarity with standard office software and digital collaboration tools.

Be sure to meet the eligibility criteria

  • You are a national of a CERN Member State or Associate Member State. Currently, we cannot consider applications from Pakistani, Lithuanian, Latvian, Cypriot, Croatian and Turkish nationals, as the ceiling defined under Article II.5 of the Associate Membership Agreement has been reached.
  • By the application deadline, you have a maximum of 2 years of professional experience since graduation in a technical or administrative field and your highest educational qualification is a general secondary education diploma or a shorter non-university degree. You can’t hold a bachelor’s degree, master’s degree or PhD.
  • You have never had a CERN fellow or graduate contract before.
  • Please pay attention to the additional criteria and requirements for this specific position and mentioned above.
